Prepare your records and questions before changing systems. Use fictional examples to evaluate the workflow, and keep your current arrangements until you have resolved what needs to move and how.
1. Inventory your records
List contact details, notes, documents, plans, appointments and billing records separately. Ask your current provider which exports are available and check that you can open them. A contact spreadsheet does not establish that other records will transfer.
2. Prepare a fictional evaluation
The free plan supports up to 5 active clients. Before evaluating an import, obtain the current template from the import dialogue and follow its headings, format choices and size limit. Use a few fictional rows and ask for clarification if anything is unclear.
3. Clarify how each stage works
Before proceeding with your fictional evaluation, ask how records are matched, which fields are required and how duplicates or repeated files are handled. Confirm what actions or notifications each stage can trigger.
4. Plan access to both systems
Keep access to the source records you need while assessing the proposed workflow. Agree an evaluation schedule that fits your practice and gives you time to resolve unanswered questions.
5. Reconcile the results
Compare each fictional row with the reported creation, update, skipped and failed outcomes. Investigate unexpected matches and unexplained totals. Review other inventory categories separately; a contact-file result does not establish their coverage.
6. Choose a changeover when ready
Plan a changeover only after resolving open questions and agreeing how to handle each record category. Check continued access to needed source records and usable backup copies before changing your existing arrangements.
